View and Track Orders: Overview

Use the View & Track Orders screens to search for a specific test materials order by entering information about that order, and then viewing the details of that order.

To locate the View & Track Orders screen, select the [Orders] tab in the navigation bar, and then select the action tab [View & Track Orders], as shown in figure 1.

Select one of the following links for help in viewing an order.

Quick Instructions—Select for quick instructions for viewing an order.

Detailed Instructions—Select for detailed instructions for viewing an order. Each step must be completed in the order listed.

  1. Search for an Order—Select for help in selecting the supplemental order criteria.
  2. View Order Details—Select for help in entering the material quantities for the supplemental order.
  3. Track Order—Select for help in reviewing the details of the supplemental order and submitting it.

Quick Instructions

Use the View & Track Orders screens to search for a specific order by entering information about that order, and then viewing the details of that order. Take the following steps to search for an order that has been placed.

  1. To locate the View & Track Orders screen, select the [Orders] tab in the navigation bar, and then select the action tab [View & Track Orders].
  2. Select the search criteria from the fields on the “Search for Order” section.
    • Select the [SEARCH] button to initiate a search.
    • Select the [CLEAR] button to clear all the fields and start a new search.
  3. From the “Results” section, select the [View] red arrow [] icon from the “View track” column next to that order to view a specific order.
  4. The details of the order are displayed on the “Order Details” section. Refer to the following information to view them. The order details differ depending on the status of the order.
    • For a “Submitted” order, the materials and quantities are not listed. Under “Materials,” the informational text is displayed: “Your order has been placed successfully. List of material items will be displayed once the order has been processed in our internal systems.”
    • For a “Processing”  order,” the materials are listed, and the requested quantities and shipped quantities are displayed as having the same value.
    • For a “Shipped” order, the materials and quantities are listed, but the value in the Shipped Quantity field differs from the value in the Requested Quantity field; the Shipped Quantity field shows zero because the order has not yet shipped.
    • Select the [BACK] button to return to the “Search for Order” section to start a new search.
  5. From the “Results” section, select the [Track Order] red truck [  ] icon to display the “School Shipment Tracking” section.
    • Access tracking information for an order by selecting the order’s tracking number link, located in the “Tracking Number” column. The tracking number links to the outside delivery system, where the order can be tracked.

Detailed Instructions

Use the following detailed steps, illustrated with screen shots, to view the tracking information for an order that has been placed.

  1. Search for an Order

    Use the View & Track Orders screens to search for a specific order by entering information about that order, and then viewing the details of that order. Take the following steps to search for an order that has been placed.

    1. To locate the View & Track Orders screen, select the [Orders] tab in the navigation bar, and then select the action tab [View & Track Orders], as shown in figure 2.

    2. Select the search criteria from the fields on the “Search for Order” section (figure 3).

      • Select the [SEARCH] button to initiate a search.
      • Select the [CLEAR] button to clear all the fields and start a new search.

    3. From the “Results” section (figure 4), select the [View] red arrow [] icon from the “View track” column next to that order to view a specific order. Table 1 includes information displayed in the View & Track Order search results.

      NameDescription

      Organization Name

      The LEA or school.

      Administration

      LEA CAASPP coordinators can select the test administration window.

      LEA ELPAC coordinators can select the administration year.

      Testing Program

      The testing program; CAASPP and ELPAC options vary.

      Order Type/

      Test Form Type

      The order type (first line) and test form type (second line).

      Order Number

      The order number.

      Order Date

      The date the order was submitted.

      Status

      • Submitted. The order has been submitted but has not yet been processed.
      • Processing. The order has been submitted and is currently being processed.
      • Shipped. The order has been shipped.

      View Track

      • Select the [View] red arrow [] icon to view the details of this order.
      • Select the [Track Order] red tracker [] icon to view the tracking details of an order that has been shipped.
  2. View Order Details

    The details of the order are displayed on the “Order Details” section. Refer to the following information to view them. The order details differ depending on the status of the order.

    • For a “Submitted” order, the materials and quantities are not listed (figure 5). Under “Materials,” the informational text is displayed: “Your order has been placed successfully. List of material items will be displayed once the order has been processed in our internal systems.”
    • For a “Processing”  order,” the materials are listed (figure 6), and the requested quantities and shipped quantities are displayed as having the same value.
    • For a “Shipped” order, the materials and quantities are listed (figure 7), but the value in the Shipped Quantity field differs from the value in the Requested Quantity field; the Shipped Quantity field shows zero because the order has not yet shipped.
    • Select the [BACK] button to return to the “Search for Order” section to start a new search.

  3. Track Order

    Once an order has been shipped, the fulfillment system sends the tracking information to TOMS. The [Track Order] red truck [ Tracking Order icon ] icon is displayed on the “Results” section, (figure 8).

    Select the [Track Order] red truck [  ] icon to display the View & Track Orders screen—“School Shipment Tracking” section (figure 9).

    • Access tracking information for an order by selecting the order’s tracking number link, located on the View & Track Orders screen—“School Shipment Tracking” section in the “Tracking Number” column. The tracking number links to the outside delivery system, where the order can be tracked.
