SSID Swaps

Background

CALPADS coordinators received the CALPADS MID report, which showed students in the LEA who needed to have an SSID retired. The report initially requested that CALPADS coordinators correct these issues upon receipt of the MID report.

CALPADS coordinators retired SSIDS for some students and provided them with a new SSID. Unfortunately, this might cause issues with a student who started testing with one SSID but finished using a new SSID.

On Friday, April 8, 2022, the CALPADS office sent CALPADS Update Flash #221 asking CALPADS coordinators to stop retiring SSIDs until the LEA’s testing window closed, to prevent any additional students from being affected by retired SSIDs.

Identification

LEA CAASPP coordinators and LEA ELPAC coordinators should work with the LEA’s CALPADS coordinator to create a list of students who have had their former SSIDs retired.

Students who tested using a now-retired SSID will show up in the LEA’s completion reports as having not tested. LEA coordinators should confirm with site coordinators whether a student has partially or totally completed testing.

Criteria

If a student received a new SSID, there is a chance that ETS will need to complete an SSID swap to move testing data for the student from the retired to the new SSID. The table in the Scenarios section can assist coordinators in determining whether a swap is required.

The following information is needed for each affected student prior to submitting a request for an SSID swap:

  • LEA Name
  • LEA CDS Code
  • Retired SSID for the student
  • New SSID for the student
  • List of parts of assessments completed
  • Administration window end date (if CAASPP tests are involved)

SSID Swap Requests

Once it is determined that an SSID swap is required, an LEA coordinator will complete an SSID Swap Request. ETS will submit the STAIRS case for the LEA.

After the swap information has been submitted, an autogenerated email with following subject line is sent: “Action Needed: Incorrect SSID Used--STAIRS Case Approved for Further Processing: Case Number [XXXX].” Disregard the direction to contact the Success Agent. This will expedite processing and eliminate an extra step for coordinators.

Scenarios

For an assessment to be completed, all parts of the assessment must be completed. Table 1 lists the parts that make up the CAASPP content-area assessments and the Summative ELPAC.

To be considered complete, a student must submit all assessment parts. If a test has multiple parts and not all parts have been submitted, the assessment is not considered complete.
