2022–23 Changes to the CAASPP Student Score Data File

Student Score Data File in the Test Operations Management System (TOMS)

The Student Score Data File is available to LEA coordinators only and can be found under the Reports tab in the TOMS. In prior years, the Student Score Data File for California Assessment of Student Performance and Progress (CAASPP) test results was released in July, updated only once in the fall, and contained all enrolled students.

Updates to the CAASPP Student Score Data File

Both the “By Enrolled LEA” and “By Tested LEA” are now updated daily with assessment records available in the file as the Student Score Reports (SSRs) are released. It will not include all enrolled students until all student results have been processed.

The “By Enrolled LEA” Student Score Data File will now include assessment records for all currently enrolled students, including newly enrolled students who completed testing at a different LEA.

New: “By Enrolled LEA” Report Type Updated

Starting with the release of CAASPP results, LEAs will be able to download the Student Score Data File “By Enrolled LEA” at any time and will be able to view assessment records for students that are currently enrolled in the LEA, including students who tested with a different LEA or had a Parent/Guardian exemption (PGE) or Not tested due to a medical emergency (NTE) exemption. In prior years, this file reflected assessment records for students who were enrolled in the LEA as of the last day of the statewide testing window.

Student Results Included in the Student Score Data File

The Student Score Data File will include assessment records for students who have an SSR available as well as students in the following scenarios:

  • Students who had a Parent/Guardian exemption (PGE) or Not tested due to a medical emergency (NTE) exemption for both English language arts/literacy (ELA) and mathematics
  • Students who had a PGE or NTE for the California Science Test

Student Results Not Included in the Student Score Data File

With real-time data updates, this file will no longer include assessment records for students who do not yet have an SSR generated. The following list includes some examples where the student assessment record will not be included in the data file until the student’s results are processed and an SSR is generated:

  • Students that have not yet tested and do not have a PGE or NTE
  • Students who have started testing and have not submitted at least one test.
  • Students whose scoring is still in progress.

Note: When the final “By Tested LEA” Student Score Data File is released, it will include assessment records for all students that tested within the LEA.

Tips for Requesting the Student Score Data File

When requesting the 2022–23 “By Tested LEA” CAASPP Student Score Data File, use the start of the LEA’s test administration window for “Start Date” and the date you are requesting the report as your “End Date,” so that all student assessment records that have been released to date are included.

To obtain only new assessment records in subsequent report requests, use your end date from the last time you requested the report as your start date and the date you are requesting the report as your “End Date.”

To obtain assessment records for currently enrolled students, including students that were not tested by your LEA, select “By Enrolled LEA” as the Report Type. Use the start date of the statewide test administration window for “Start Date” (e.g., January 11, 2023) and the date you are requesting the report as your “End Date.”

California Educator Reporting System (CERS)

The changes to reporting results will not impact the data available in CERS. Data in CERS will continue to be released as results for each subject area become available.
